Office Policies

Laboratory Testing:

Lab work will not be scheduled prior to physical or check-up as we may decide to include additional test based on your office visit.  If you would like your lab word done during your office visit, PLEASE COME FASTING for your appointment.  Fasting means nothing to eat or drink after midnight.  Exceptions include plain water and most medications except diabetic medications or medications taken with food.  If you are diabetic, please schedule your appointment early in the morning and bring your medications and a snack with you. Although the lab work is drawn in our office, most of the time it is drawn by a phlebotomist who is employed by an independent laboratory and not affiliated with our office and any questions need to be re-directed to our office staff.

Test Results:

Normal results will be posted to the patient portal.  Make sure you have your user name and password.  It is our office policy NOT to mail out lab results.  We can fax your results to any other physicians that you are seeing - please advise your nurse at the time of your visit that you would like your results to be sent to your specialist.  Please allow up to 1-2 weeks for receipt and processing of your test results, depending on the test.  Some test can last up to a couple of weeks for us to receive them.  You can send us a message via the patient portal to check the status of our lab results if you have not received an e-mail advising you that your results are reading for you to view. Abnormal results you will be notified by telephone of any ABNORMAL test results.  We do not leave messages on voicemail with the result information.  We will however, leave a message asking you to return our call.  On occasion, we may request that you come in to our office to discuss complicated or sensitive test results. If you are 18 years of age or older, it is illegal for us to release your test results to anyone else without your written consent.  For more information, please see RELEASE OF INFORMATION. In the event that we cannot reach you by telephone after at least three attempts, or you do not respond to messages left on voicemail, we will issue a letter to your home address asking that you contact our office.  If you do not respond, we are no longer obligated to attempt to contact you.  Any harm that comes to you as a result of this is not the responsibility of Willy Pezzia, M.D. and Associates.  It is your responsibility to make sure we have accurate phone numbers and addresses in the event that we need to contact you.

Release of Information:

In accordance with state and federal laws, our office will not release any medical or personal information to anyone else, including spouses, without your written consent.  This applies to any patient over the age of 18.  See the Treatment of Minors section for our office policies regarding release of information for patients under the age of 18.  Please keep in mind, our office policies regarding these matters are governed by law, and are therefore inflexible; no exceptions will be made.


Please call our office during regular business hours to schedule an appointment.  The receptionist will ask what your visit is regarding.  This information is necessary to schedule enough time for your problems to be adequately handled.  We have different amounts of time allotted for different types of appointments.  If you are more then fifteen minutes late for your appointment and you have not called to let us know, you may be asked to reschedule your appointment or be worked in at the end of the appointment scheduled so as not to delay everyone else's appointments. If you do not show for your appointment and you have not called to cancel it, you will be charged fifteen dollars.  Please call and cancel your appointment if you cannot make it so that we may schedule someone else in your place. New patients will be asked to arrive thirty minutes ahead of time to complete patient information via the patient portal located at our office if they do not have a computer to enter there information.

Narcotic Medication and Controlled Substances:

You are required to schedule an appointment to be seen.  NO EXCEPTIONS WILL BE MADE.

Medication Refill:

If you need a refill on a current medication, please call the pharmacy first as you may have refills remaining on your prescriptions.  If not, your pharmacy will call our office to request a refill for you.  Please DO NOT WAIT until you are out of medications as it can take up to 48 hours for your prescription to be refilled. We require periodic office visits and blood work for certain medications. If you have not been seen  within a specified period of time, you will receive notification that you are due for an office visit.  If you do not come in, we may reduce the number of pills you receive or DENY the next refill altogether.  Please call the office to make other arrangements if it is impossible for you to be seen as we want to prevent you from running out of your medications. As a general rule, WE DO NOT REFILL ANTIBIOTICS.  If you are not feeling better, you need to be evaluated to see why your condition is not improving.

Treatment of Minors:

Treatment of minor requires parental consent for the treatment of any minor.  If your child is under the age of eighteen and will be seen without you present, please call the office to give verbal permission, or fax, or email a note authorizing us to treat your child. There are times when a minor may be seen legally without parental consent.  These include, but may not be limited to abuse, sexual concerns, drugs, etc.  We make every attempt to facilitate communication between parents and minors.  It is not our goal to keep secrets from parents, but at the same time, we provide a safe and trustworthily place for your child to receive medical care and education inregards to sensitive issues.

Insurance and Billing:

As a service to you, we will bill your insurance company for office and hospital charges directly.  You are responsible to pay your copayment at every office visit, and any charges denied by your insurance company.  If you have any questions regarding your insurance claim you can call our office and discuss with our Billing Manager.
